Frequently asked questions
Quick answers for clients and vendors using BayGather.
01
Planning an event
Finding vendors, comparing options, and making requests.
How do I find the right vendor?
Browse the vendor directory by category, location, language, or price level. Open a profile to review services, photos, and contact details.
How do quote requests work?
Open a vendor profile, select Request a quote, and add your event details. The request and replies stay connected to your BayGather account.
What do $, $$, $$$, and $$$$ mean?
They compare the likely investment with similar vendors: value-focused, moderate, premium, and luxury. They are guidance only, not a final quote.
Can I request a COI or W-9?
Yes. Signed-in clients can send a formal document request from a vendor profile. The vendor responds directly to the requester.
02
For vendors
Applications, profile updates, photos, and approval.
What happens after I apply?
Your application stays private while BayGather reviews it. You can update your business information and add photos during the review.
Can I upload photos from my phone?
Yes. Choose a cover, logo, or up to 10 portfolio photos at once from your phone. Standard JPG, PNG, and WebP images are accepted.
Can I save documents and finish later?
Yes. Each document saves as soon as it uploads, so you can return to your workspace and continue at any time.
When does my profile become public?
Only after BayGather approves the vendor application. Pending and rejected profiles do not appear in the public directory.
03
Verification & privacy
How the verified badge and private documents work.
What does the Verified badge mean?
BayGather has reviewed the documents required for that vendor type. Verification is separate from client reviews and does not guarantee a specific service outcome.
Are vendor documents public?
No. Verification files are private and available only to the vendor and authorized BayGather administrators.
Which documents are required?
Every vendor needs a business license, liability insurance, and a W-9. Some services require additional permits or certifications.
What happens if an application is rejected?
The vendor sees the review reason in their workspace, receives an email, and uploaded profile photos are removed. The profile is never published.
